Web links pod

Author: PhilipCollie

I want to be able to split my meeting into two separate meetings and have set
up two additional meeting rooms, then linked to them via the Web Links pod. I
can force all participants to go to one or both new meetings, but they don't
get the option to choose via their own view of the Web Links pod - it just
shows the URL of the first link added.

Any ideas?

Phil

Hi PhilipCollie,

You can try to display all the web links by enabling the web links pod for the
participants under the 'Enhanced Participant Rights' menu.

To do this, you need to select the participant under the attendee list >>
click on pod options >> select 'Change Enhanced Participant Rights' >> check
the Web Links pod and hit the 'OK' button.

I hope this helps.

Or, perhaps the 1 link your particpants can see leads to a popup window where they can make their choice between the 2 room destinations offered. -Bill

Hi, PhilipCollie!
While the following is not exactly what you asked for, it may present an
alternative solution.
There is a new (Nov 21st) "Sync SWF" available called "Breakout Groups". It
will take some planning and testing, but it's free and looks intriguing.

You will find the Breakout Groups extension here

http://www.adobe.com/cfusion/exchange/index.cfm#loc=en_us&view=sn511&viewName=Br
eeze%%20Extension&authorid=72515236&page=0&scrollPos=0&subcatid=0&snid=sn511&item
number=0&extid=1049331&catid=0
(free). Read the "readme.txt" to see how it is set up.

You can also read a more technical background on how it was created here
http://www.adobe.com/devnet/breeze/articles/breakout_groups.html

Hope this helps.

Hi there,

This looks amazing. I spotted it over the weekend and loaded it onto our
server then. I?ve got into work today and started having a play and am trying
to develop a Captivate movie that explains it to our University staff.

I do have some questions though :-)

As the administrator of our Breeze server at the University, it appears that
only I can create groups?

What I?ve done in testing this out is simply create some empty groups called
?breakout1?, breakout2? etc in the User and Groups section, with the notion
that people who come into meetings would then be assigned to (many of our
students log in as guests as we use Active Directory but so far only have staff
in the user list within Breeze via an AD import).

It appears that I can start a meeting with the Break Out pod and then as I
accept users into the meeting, I can assign them into a break out
group...correct?

Does this have any influence on Active Directory at all? (I?d hate to be told
off for playing with AD!)

Glad it was of some help. I am about two thirds through doing the same thing
you are! I even named the groups the same.
:grin;
As for your concern about "stepping" on someone else using the SWF; that
shouldn't be a problem. One of the nice things about the Acrobat Connect
Content Library is that each "instance" of the SWF is unique to that particular
meeting.

Finally, I'm not an IT guru, but I can't see where Active Directory becomes
involved in this procedure. I hope you are not confusing Windows "Users and
Groups" (So-called NTFS permissions) with Acrobat Connect's (Breeze's) Users
and Groups. They are completely different. Only the Connect administrator has
access to that and apparently that's you. So you should be fine if you use the
Administration > Users and Groups interface.

Meanwhile, I'll report my results and hopefully, you'll do the same.

I may be confusing Windows users and groups! :-) We import all our staff IDs
into Breeze from what I thought was AD but maybe it isn't. Not to worry...I'll
make some groups and then everyone will be able to access them.

I'm planning to get academic staff online to show them the new functionality
early next week. I'll record it and also what a staff member sees (pretending
they are a student) and make a movie up for staff to explain how it all
works...it'll have huge benefits for us in working with students online.

By the way, if this is of any use to anyone at all, I also made a captivate
movie up of other pods in the exchange area that we've installed to show staff
what's new...

Your Captivate movie examples of third party pods is terrific. Thanks for
sharing that!
BTW, I think I know now what you are referring to. LDAP and AD are often used
to conveniently "import" large groups of existing users from your organization
into the Breeze user system. This is a short blurb on the subject:

Thanks for that link and the comments. I just finished another movie the other
day. It was meant to be a top 10 tips for meeting hosts...but kinda got
stretched to 14 :-)
http://breeze.massey.ac.nz/tipsforhosts

Basically it was a way to try and quickly get through what meetings hosts have
determined to be the most important things to remember/learn about being a
host...or that staff say to me "oh..I didn't know that" when gettting some
training.

We got an OK from Adobe to include a video clip in there (thanks Adobe). Next
step is Top tips for presenters.

Phil
PS...sorry about thebackground music to the clip..I got carried away with
Captivate 2...which as an avid Mac user, was slightly upsetting to enjoy it so
much. Oh for a Mac version!

You would need to do that in the file encoding process using either Flash,
Sorenson Squeeze or some other flash video encoding product. This can't be
controlled from the server side. Obviously bandwidth issues and download /
buffer times on a an ASP account are going to fluctuate more noticably than
what you are liekley to expereience on a licensed solution.
