PRODUCTION COORDINATOR: MEETINGS & EVENTS JOB DESCRIPTION OVERVIEW The Production Coordinator: Meetings & Events position provides production assistance and administrative support for the Corporate Productions & Creative Services department and, in some cases, for the Corporate Communications division. This support is divided between daily operations (meetings, events, productions, departmental events, campaigns and other initiatives) and overall administrative duties. The job requires a 50%% time commitment to meetings and event production and a 50%% time commitment to administrative support. This position reports directly to Gena Bardwell - Senior Manager, Operations, Corporate Productions. SCOPE OF RESPONSIBILITIES Meetings, Events & Productions:? Scholastic Auditorium (Internal Events), Education Resource Center, Living Room, External Initiatives: ? Supporting the V.P., Senior Manager and Producer, Meetings & Events with the planning and execution of all internal events, productions and special initiatives that take place in Scholastics corporate event spaces ? Scheduling of events spaces ? Handling event logistics, catering, security, and audio/visual requirements, set up, break down, troubleshooting ? Maintaining all three event spaces (including lighting, repairs, cleaning, etc.) ? Maintaining and organizing Auditorium Greenroom ? Scholastic Auditorium (Business): ? Supporting the Senior Manager, Operations, the Producer; Meetings & Events and LeadDog Management Team with logistics including, set up, break down and invoicing
Character Costumes: ? Handling all external costume character requests: ? Contracts/clearances ? Shipping and documenting ? Cleaning ? Storage General Administrative Support:? Handling daily Corporate Productions departmental needs: ? Travel arrangements (VP), expense reports (VP), departmental supplies, video dubbings/mailings/messengers ? Organizing and maintaining video library and alpha check list of all Corporate Productions CD, DVD and Beta tapes and recordings ? Invoice Processing for Corporate Productions and Corporate Graphics: ? All invoicing/billing for Corporate Productions events and for the
Requirements: REQUIRED COMPETENCIES ? Must be proficient with generating detailed event production schedules, support materials, task and checklists, and interfacing with clients. ? Organizational and administrative skills ? Well-developed communication/people skills ? The ability to successfully prioritize multiple tasks ? Initiative & resourcefulness ? The ability to work calmly under tight deadlines ? The ability to work well in a collaborative environment ? Advanced Internet competence and research skills ? Mac/PC proficient; Microsoft Excel; Microsoft Word ? Proficiency in design software, Photoshop, Illustrator, Flash, Acrobat - a plus REQUISITE EDUCATION/EXPERIENCE ? College Education (Bachelor Degree) ? Administrative assistance (one year) ? Event experience (corporate, entertainment and/or benefit/fundraising) - a plus SALARY ? $40,000
