DISNEY THEATRICAL GROUP (DTG) is among the world’s most successful commercial theatre enterprises. DTG produces or licenses live entertainment events that reach a global annual audience of more than 20 million people in more than 40 countries. DTG produces and licenses Broadway musicals around the world, including Beauty and the Beast, The Lion King, Elton John & Tim Rice’s Aida, TARZAN® , Mary Poppins, a co-production by Disney and Cameron Mackintosh, and The Little Mermaid. DTG also delivers live entertainment around the globe through its license to Feld Entertainment, producer of Disney on Ice and Disney Live!. In addition, DTG licenses musical titles for local school and community theatre productions through Music Theatre International. Our General Management team is looking for an Office Administrator to provide operational support for our New York office. The primary responsibilities will be to keep the office, equipment, phone systems and facilities running efficiently. This position will report directly to the Senior Vice President & General Manager and will partner with the Operations Assistant as well as the Receptionist to oversee and ensure general office upkeep. The ideal candidate is a professional with keen attention to detail, a service-oriented attitude and a strong work ethic. Responsibilities include, but not limited to:

• Oversee the procurement of all day to day office supplies, including: stationary, copy paper and copy machine supplies, general office supplies, etc. • Oversee the allocation of guest office space. • Coordinate and implement new technology upgrades, major purchases and vendor services • Manage Overhead Operating budget. Track vendor expenses, supervise the payment of invoices and audit expenses on the procurement card. • Manage the layout of personnel. Liaise with supervisors and HR to determine seating assignments of new hires and execute internal office moves as necessary. • Educate and provide materials to new hires on the operational aspects of the office, which include: phone system, copiers, supply closet standards, conference room bookings, etc. • Arrange for porters & contractors as necessary. Orchestrate services for special operational requirements/projects. • Manage telephone system; Assign phone numbers to all new hires and oversee use of general “hotline” numbers. Trouble shoot system problems, schedule all maintenance & upgrades, and work with outside vendor to add new lines, move existing lines, change names, and reset voicemail passwords, etc. • Serve as the technical point person for the Video Conferencing equipment. Work with other business units to successfully connect calls, work with each department to support special requirements of each call, and communicate any unresolved technical issues with the appropriate vendor. • Function as Site Coordinator for the Walt Disney Company Crisis Management Team. Implement systems to ensure safety during an emergency situation. • Partner with corporate security to develop an Emergency Evacuation Plan tailored to the unique needs and challenges of the new office space. • Coordinate First Aid, CPR, AED and Fire Safety training for all members of emergency response team. • Implement operational aspects of Environmental Initiatives. • Supervise operational requirements of each department which includes mass mailers, unusual shipments and deliveries, temporary storage space, use of general email accounts and ‘hotline’ phone numbers (needed for events). • Oversee function of office equipment and troubleshoot/arrange for service as needed. This includes copiers, postage machine, and all kitchen equipment. • Liaise with building Landlord to remedy all building maintenance issues. • Work with Engineering Department for all facility maintenance requirements, including maintenance emergencies. Candidates must have a Bachelors degree plus a minimum of 3 years experience in office administration and partnership with suppliers, landlords, delivery personnel, outside contractors, etc. This individual must also have experience in managing phone systems. All applicants must have strong interpersonal, organizational, leadership skill as well as strong verbal and written communication skills. The right candidate will have the ability to work independently, manage projects, analyze situations and identify potential solutions with the willingness to assist in whatever is needed to complete the task.
