The Facilities Department has an opening for a Facilities & IT Specialist, reporting to the Facilities Manager, in New York City. Under the direction of the Facilities Manager remotely and Office Manager locally he/she performs general facilities repair work, assists in maintenance safety, and reports the needs for both supplies and major repairs to his/her supervisor. Responsibilities may include overseeing the work of one or more service contractors such as cleaning or HVAC and/or performing general administrative functions such as invoice approval and maintaining security system records. Central Services functions include responsibility of central services area such as keeping inventory and ordering office supplies, maintaining copiers, fax, postage machine, helping with bulk mailing. IT functions under the direction of IT Specialist would include the relocation of computers and telephones and technical support to the EDC end user community. ESSENTIAL FUNCTIONS- All staff are expected to communicate clearly and courteously; to develop and maintain positive relationships with clients, consultants, collaborators, co-workers, field sites, and funders; and to work respectfully with EDC colleagues. All jobs require adherence to EDC policies & procedures. Under close or direct supervision, the Office Assistant * Keeps the buildings and offices clean and in good repair by performing maintenance duties including but not limited to; changing locks/doorknobs, monitoring heat and air conditioning, replacing light bulbs, painting, minor plumbing, carpentry and electrical work, and moving office equipment and furniture.
* Makes sure the facility is shut down and secured at night. Responsible for distributing security system access "keys" and maintaining inventory of issued keys.
* Remains "on call" throughout the work day in order to assist other staff as necessary; and may be required to work overtime, as necessary, including being on call in the evening and during special events.
* May direct the work of one or more service contractors such as the cleaning company, HVAC maintenance contractor, electricians, plumbers, copier maintenance contractor, and others.
* Field incoming help requests and provide Desktop IT support to EDC end-users ensuring customer satisfaction for both PC and Macintosh.
* Apply diagnostic utilities to aid in troubleshooting and access software updates, drivers, knowledge bases, and frequently asked questions resources on the internet to aid in problem solving on both PC and Macintosh; and escalate problems (when required) to the appropriately experienced technician.
* Help set up new computer workstations and install new software and perform hand-on fixes at the desk top level, including installing and upgrading software, installing hardware, implementing file backups, and configuring systems and applications.
* Performs other duties as assigned.
QUALIFICATIONS- All jobs require educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; strong interpersonal & organizational skills. This position requires: High school or vocational diploma preferred. Should have three to five years related facilities experience and one to two years IT experience, including a knowledge of computer hardware, desktop operating systems for both PC and Macintosh, and other application support. Must have good manual dexterity and must be familiar with the use of both hand tools and power tools. This individual must be able to work independently to complete assigned tasks and must be able to troubleshoot in order to perform both corrective and preventable repairs. He/she must be able to lift between 50-75 lbs. Must have exceptional communication and interpersonal skills and strong documentation skills.
