Job DescriptionThe Facilities Assistant is a dynamic, user-facing role providing essential office functions. This position requires a highly motivated individual with strong communication skills and a great customer service attitude. The Facilities Assistant performs a variety of word processing, spreadsheet, Internet search, database management and administrative tasks and also assists with a variety of facilities management services and projects. Required responsibility varies based on size of office. Willingness to take on new projects and learn new skills is a must.

Job Responsibilities: Reception Duties * Create and maintain a welcoming environment by greeting and assisting all visitors, staff and employment candidates. * Provide general reception services by answering and routing all incoming calls, responding to general office emails, tending to voicemails and public inquiries. * Distribute employee ID badge and building access cards. * Post conference room schedules daily, notices, lunch menus and office communications as needed. Administrative Duties * Perform general office administrative tasks such as creation of word documents, spreadsheets, publications, and signage for the office. * Assist and direct office employees in the use of photocopying and facsimile machines, digital scanners and all other office equipment. * Serve as a liaison between office staff and Facilities Management in service requests. * Create and maintain office databases for employee locations and seating assignments, floor plans, ID badges, parking assignments and employee phone lists. * Facilitate new hire process by coordinating with IT department and office managers, confirm seating assignments and prepare work stations, provide welcome material and updating appropriate employee databases. * Confirm the receipt of and verify accurate invoicing for deliveries, goods and services. Facilities Services * Assist in general facilities duties to ensure the adequate provision of office services and supplies. * Conduct daily walk through of the office to ensure safe, clean, and organized office, lobby and conference rooms. * Process orders and maintains inventories on all general office supplies, facilities equipment and supplies. * Assist with vendor selection, order special deliveries and coordinate vendor services. * Coordinate new hire set up with IT department and office managers by confirming seating assignment, preparing workstations, providing welcome materials and updating employee location database. * Assist departments with special event preparation and facilitation. * Review and resolve outstanding ticket requests in a timely manner. Mailroom,Shipping/Receiving Services: * Oversee all shipping and receiving services for the office. This includes logging all packages, processing deliveries and sending delivery notifications. * Order shipping supplies when necessary and assist staff with packaging and postage needs. * Responsible for the accurate and timely dissemination of incoming and outgoing mail deliveries.

Computer Skills: Must have proficiency in using the Internet, as well as Microsoft Office programs including MS Word and MS Excel and MS PowerPoint. Must also have the ability to learn new Google based computer applications as necessary.
