Job Summary The HR Assistant provides support for the VP - Human Resources and the VP iV Talent Development and is responsible for providing highly diverse administrative support involving ongoing and daily contact with senior management necessitating the essential use of confidentiality, diplomacy and sound judgment. Responsibilities include but are not limited to, general administrative support, preparation of presentations (logistics and materials), meeting scheduling, calendar & travel management, HR reporting, HR systems back-up, processing of all departmental Purchase Orders and special project work as needed. Judgment and Decision Making: (Describe the nature and impact of decisions required for this position as well as the type of supervision required for this position from the following; Close, Moderate, Intermittent, None: This position requires someone who possesses a high level of professionalism, can maintain confidential information and effectively deal with senior level management (both US and International teams) with an extremely high degree of professional maturity. In addition, this position requires the exceptional ability to work with complex issues/details and communicate them in a simple and straightforward manner. Key Duties and Responsibilities: Briefly describe 5-8 primary duties/responsibilities of the job. Please list these duties in order of importance and include the percentage of time spent or required for each activity Tasks, Duties & Responsibilities %% of time spent. Total should = 100%% 1. Manage daily schedules/calendars and ensure VP-HR and VP-Talent Development are on-track for all meetings (time, documents needed, location, etc.) 25%% 2. Backup for all HR Systems input, reporting and updating (workflows, organizational charts, talent development worksheets, etc.) 20%% 3. Manages and updates HR departmental budget on a monthly basis 10%% 4. Prepare PowerPoint presentations (research of material included) 10%% 5. Coordinate all travel arrangements and prepare travel & expense reports 10%% 6. Creation and tracking of all purchase orderis for LPD HQ & HR 10%% 7. International visitors coordination including X Organize communicate agenda of meetings/events, updating any changes to all participants X Schedule domestic travel, car service and hotel reservations (monitoring all necessary changes) X Plan group dinners (restaurant reservations & transportation) X Track expenses & charges to be billed back accordingly Book meeting locations-organize AV equipment, catering 10%% 8. Draft internal and external memos, letters, agendas and other general correspondence 5%%

REQUIREMENTS: A Minimum 5-7 years experience in an administrative support to senior level management in a corporate environment A Strong computer skills including Word, Excel, Outlook, Power Point and Access and excellent written and verbal skills A Strong interpersonal skills and ability to work effectively with peers, managers, and executives A High level of confidentiality given the continual exposure to highly sensitive information A Ability to handle multiple tasks/projects, concurrently, with tight deadlines A Flexibility and the ability to juggle multiple priorities effectively A Strong communication skills both verbal and written LOreal USA is an equal opportunity employer M / F / D / V.
