Responsibilities: The Administrative Assistant provides advanced administrative support for the VP, Group Director and VP, Development and other GGP regional employees as needed. Duties include: * Reception - answering phones, coordinating internal meetings, and preparing conference rooms (including A/V equipment needs, food service, and meeting preparation). * Provides traditional administrative reports including word processing, Excel, travel arrangements, meeting schedules, tracking/reporting expenses, booking events, and the use of various proprietary systems. * Performs standard and confidential administrative support duties requiring fundamental experience, skill and knowledge of organization policies and practices. * Responsible for the construction and/or creation of communication and presentation pieces through formal direction from management or individual initiative. * Receives limited supervision; maintains excellent communication and organizational skills; exhibits accuracy when working with details. * Maintains proper liaison between department heads, managers, employees and retailers. * Coordinates the efficient operation of the office by maintaining general and confidential files, ordering office supplies, maintaining and repairs of office equipment, maintaining manuals and performing all other relevant duties.
Qualifications: * High School Diploma (or equivalent); degree preferred * Five (5) years administrative/office management experience in a fast-paced environment required * Accurate keyboard skills and experience with various office equipment/machines, with strong knowledge of Microsoft Word, Excel and Outlook * Excellent written and oral communication skills. * Proactive and results oriented. * Professional appearance and attitude. * Ability to deal with multiple tasks effectively and establish priorities.
