Administrative Assistant: PART-TIME CMB Finance - Strategy & Planning The Finance Division acts as a strategic partner across business lines. Professionals within the division work closely with the management teams of Citi Markets & Banking (CMB), adding value to the firm’s operations through strategic analysis and hands-on participation in planning and in process redesign. The Finance Division is broken down into Treasury, Tax, Controllers, Audit and Strategy & Planning. This position represents an exciting opportunity to work with the Strategy & Planning team. The administrative assistant will have the following areas of responsibility: * Back-up assistant to the Head of Strategy & Planning, Co-Heads of Planning & Analysis, Head of Strategy, and Head of Risk Strategy * Answering phones * Calendar/meeting management, coordinating with senior executive offices * Manage Continuity of Business for S&P * Maintain the COB plan and coordinate COB testing (when directed by Business Continuity Management team) * Business Impact Analysis * Send COB email to all new hires, update emergency call lists accordingly * Send remote access instructions to new hires, assist with any remote access issues / replacements * Ad hoc requests from the Business Continuity Management team * Blackberry administration for all of S&P * Maintain blackberry list - ensure that list is comprehensive and complete, update with all changes as soon as they occur * Replace lost/stolen blackberries following S&P blackberry policy; manage replacement of defective devices per blackberry policy * Collect devices upon termination / cancel service / manage devices for redeployment (if any) * Issue devices to new employees / order or transfer service / activate devices upon delivery / follow-up on outstanding orders * Maintain the vacation database * Enter new time off requests on the day they are received * Administrative maintenance of the database (adding new employees, updating employee information, etc) * Recreate database annually * Employee on-boarding and off-boarding * Enter all entering / exiting related Virtual Requests (phone & computer set-up, etc) * Process Diner’s card application, business cards, etc. * Intradepartmental Moves * Survey affected locations, complete VR including move locations, affected phone moves, computer moves, etc. * Interface with movers, project managers, phone technicians, computer SA, locksmith, cleaning crew, etc. * Managing Ad-Hoc Requests * Building Services requests - Placing calls for new lightbulbs, keys, etc. * Virtual Requests - entering VRs for directory access, new applications, etc. * Conference room scheduling (38-B)

Specifications / Qualifications Qualifications Technical Skills - . Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint) . Ability to gain a strong command of new systems (T&E, P2P, VR’s, etc.) Non-Technical Skills - . 3-5 years prior experience necessary . College degree preferred . Expert in multi-tasking, organizing, and prioritizing a must . Strong written and verbal communication skills . Detail oriented with ability to work independently and prioritize workload . Demonstrates a high level of integrity and professionalism . Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment Ability to work 8:30am-5:30pm and be flexible for overtime as needed
