INTRODUCTION A leading advertising agencys fast-paced and dynamicManhattanoffice seeks an Interactive Project Manager. This individual will be responsible for managing and executing creative web-based marketing projects and programs according to a published schedule; within a defined budget; and in accordance with a specific strategy at the highest possible level of quality. Project Managers report to the VP, Director of Project Management.
This position services the needs of our clients throughout the duration of an engagement and acts as a liaison among the internal departments to gather and communicate all relevant information required to deliver on each client’s business objectives. The individual must be able to take direction and work in a collaborative environment as well as take sole ownership of defined initiatives. Ultimately, Project Managers will be responsible for reviewing all major milestone deliverables prior to client delivery and will share accountability for all client deliverables with the assigned team. RESPONSIBILITIES The responsibilities of an Interactive Project Manager include but are not necessarily limited to the following: · Functioning as the project “hub” coordinating, communicating, facilitating, and managing all internal “spoke” capabilities | departments involved in any given project. · Actively managing projects against published plans | schedules | timelines. · Functioning as the “switchboard operator” to route relevant, project-specific communications to the appropriate person(s), thereby ensuring that all team members (and stakeholders, where applicable) are fully apprised as to project status and required next steps. · Ensuring that all key project documentation are created using available templates; appropriately distributed; properly organized and updated; and stored according to defined procedures. · Developing key project documentation – e.g., statements-of-work, change orders, project plans, issues list, risk management lists, status reports, meeting agendas, post-mortem reports, etc. · Creating detailed, work-based project plans in coordination with assigned capability leads (who would provide work details and accompanying work-effort estimates). · Executing projects in accordance with published processes and procedures from inception to completion. · Providing process-oriented feedback to the VP, Director of Project Management when appropriate. · Ensuring that all required assets are gathered | obtained, reviewed, and incorporated. · Managing expectations internally and externally regarding schedules, budgets, potential risks versus manifested issues. · Escalating issues in an appropriate and professional manner to the respective Marketing representative and/or VP, Director of Project Management when necessary. · Adopting processes, approved tools & applications, etc. · Ensuring consistent usage of processes, approved tools & applications, etc. · Identifying improvement areas for processes, approved tools & applications, etc. · Ensuring that all appropriate deliverables are reviewed and ultimately approved by appropriate internal and external stakeholders. · Managing relationships with freelancers, independent contractors, and vendors. · Proactively identifying and managing project risks – via risk management plans (where applicable) – and escalating issues (i.e., manifested risks) for resolution when appropriate. · Assisting Marketing in the creation of client presentations when necessary. · Presenting to clients when necessary. (Note – Any PM presentation responsibilities would be relegated to information wholly owned by Project Management – e.g., project plans.) · Coordinating project-specific internal meetings and regular external checkpoint or status meetings. · Ensuring proper planning for quality assurance (QA) testing as part of any initiative. · Assessing implications to the project when changes in scope, schedule, budget, stakeholders, etc. are introduced. · Partnering with internal and external team members in a positive, professional, and constructive manner. · Providing appropriate visibility and regular status updates for all assigned projects. · Representing the processes and solution delivery approach of the Project Management Department in external calls, meetings, and presentations. · Actively learning and maintaining a working knowledge of the complete lifecycle for Interactive. · Analyzing and reporting upon project metrics – e.g., hours burned vs. hours estimated, profitability, etc. · Actively planning out and forecasting project-specific staffing needs that reflect published project plans in accordance with the organizational resource management and allocation process. · Facilitating project-specific meetings to accomplish specific, defined objectives. · Ensuring that project time reporting for the assigned team is up-to-date and current. · Assisting Marketing to identify new opportunities with existing clients and participate in new business development efforts (when appropriate) with potential clients. · Improving proficiency with business and project management tools – e.g., MS Office Suite, MS Project, etc. · Assisting other project managers and teams when appropriate. QUALIFICATIONS Education BA | BS from an accredited institution Work Experience: Levels: Entry-Level = 0-2 years of experience in project management (preferably a web or interactive marketing environment) Mid-Level = Approximately 3-6 years of experience in project management (preferably a web or interactive marketing environment) Senior = Approximately 6+ years of experience in project management (preferably a web or interactive marketing environment) Other Information · Background in application or software development lifecycle a plus · Background in managing execution of online media campaigns and web site development initiatives preferred · Working knowledge of the Internet as an advertising or marketing communications medium required · PMP certification not required Attributes The individual must have a surplus of or be able to demonstrate expertise in the following: · ability to manage client relationships; · must possess strong verbal and written communication skills, interpersonal skills, a positive attitude, and the ability to thrive in a collaborative agency environment; · must possess ability to successfully organize, prioritize and manage multiple projects in a deadline-driven environment; · effective problem-solving skills; · ability to work independently without day-to-day oversight within the framework of a defined process; · must possess understanding of the rationale for a “business process” and “consistent implementation approach”; · initiative; · dependability | reliability; · confidentiality; · strong organizational skills; · impeccable attention to details; · ability to multi-task; · ability to operate under pressure; · flexibility in working hours as needed; · appropriate judgment in selecting effective and efficient communication methods as part of overall project management; · ability to facilitate productive discussions to reach team consensus on an action plan to address a specific issue or set of issues · professionalism
