GENERAL SUMMARY The person in this position is responsible for providing facility maintenance services in the Livingston Office. This individual must be able to work a flexible work schedule, prioritize multiple tasks in a fast-paced environment, be highly motivated, a self starter, work independently, and has a high level of focus and attention to detail. POSITION FUNCTIONS Maintain inventory of all office and kitchen supplies, including stocking the break rooms, coffee stations and conference center and place orders when there is depletion in stock. Handle phone and desk set-up and clean up preparations for new hires. Handle confirmation for internal meeting room reservations including meeting set ups and clean ups as well as some furniture moves. Maintain upkeep of all internal meetings rooms and common areas, including office supplies, network cables, and equipment needs. Handle pick up, deliveries and stocking on shelves of office and conference center supplies. Maintain supplies for printers and copier equipment including paper, toners, cleaning supplies, binders, and related items to ensure all areas are stocked place service calls when necessary. Maintain a high level cleanliness in office. Assist with office moves, including lifting and moving furniture and equipment. Handle mail services, including sorting, delivery and pick up of all incoming and outgoing mail, deliveries and interoffice packages as well as the distribution of each at established locations. Prepare all overnight packages and deliver to nearby Post Office or Fed-Ex Location. Responsible for file organization and maintenance of the internal file room. Create new files, update NetTrax (fileroom scanning system) with new users and clients, and barcode files using specialized software. Collaborate with production services on maintaining stationary supplies and related supplies. Handle all production requests by copying, scanning and binding client deliverables. Handle scanning and faxing of documents as well as rendering to .pdf format. Provide backup support as needed to other departments with operations services as needed within the office. KNOWLEDGE, SKILLS and ABILITIES High school diploma and at least 2 years work experience in a professional environment and/or a customer service providing roles. PC familiarity. Knowledge in Microsoft Word and Excel, web based applications, database usage, and Lotus Notes a plus. Ability to lift 50 pounds. Be able to work a flexible week schedule and daily hours based upon facility services need. Highly reliable with excellent attendance and punctuality record. Team Player with a professional presence and exceptional customer service. High energy level, dependable and comfortable performing multifaceted projects in conjunction with normal activities. Highly organized, accurate, flexible and dependable. Creative self-starter who pays very close attention to detail. Must be able to prioritize multiple tasks in a fast-paced environment.
