General Job Description: * Act as point person for all office administration, benefits and company policy/procedure questions * Partner with Human Resources on all areas of employee relations and benefits * Escalate benefits and policy/procedure questions and issues to Human Resources when appropriate * Assist with the various health and wellness plan enrollment procedures and 401K enrollments and changes * Coordinate and review all new hire and termination paperwork * Maintain all personnel files and I-9s in compliance with laws and regulations * Respond to all requests for Certificate of Insurance * Process background checks and submit MVR reports as needed * Coordinate and review all property loss, theft, general liability and workers compensation reports * Maintain and log all OSHA reports and the Labor to Revenue cost report * Manage petty cash account * Negotiate and approve building maintenance contracts, selection of vendors, and facility maintenance bills * Analyze and organize office operations and procedures such as distribution of correspondence * Maintain the voicemail system and oversee office, computer supplies, and other clerical services * Coordinate catering for special meetings and events as needed * Assign security cards and pass-codes for the building and alarm system * Create and maintain salary exception reports and salary re-class in Kronos * Maintain all Purchase Card receipt folders and account information * Maintain the Career Opportunity Program job listings on a weekly basis * Coordinate all Lands End uniforms and trouser allowances for the branch * Order all business cards and name badges for the branch * Coordinate the local execution of annual training requirements from Training * Process labor recaps, reconcile Javits payroll, process ACH deposits and timecard/foreman disputes * Additional responsibilities as assigned by the General Manager and Accounting Manager Minimum Qualifications: * Bachelors degree from an accredited university preferred * Two years administrative and/or human resources experience required * Ability to handle sensitive information with the highest degree of confidentiality required * Two (2) years office management experience a plus * Payroll and accounts payable experience a plus * Previous experience in a administrative support role a plus * Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and government regulations * Ability to write reports, business correspondence, and procedure manuals * Ability to effectively present information and respond to questions from employees, managers, customers, and the general public * Ability to multi-task and detail oriented * Proficiency in Microsoft Windows, Word and Excel * Experience with AS400 and Microsoft Access a plus * Excellent organizational skills in paperwork and filing systems * Excellent customer service skills Work Schedule: Business hours are Monday - Friday, 8:00 am - 5:00 pm. Some overtime and some travel may be required.
